The Software at a glance

Designed to be seamlessly integrated into the existing infrastructure, Liberyse is a modern, scalable platform for archiving data from various sources. The data to be archived are transferred from their source systems, their contents carefully checked according to the specifications, homogenized and subsequently stored in the archive in an open, future-proof format. This process ensures data integrity while at the same time avoiding dependence on source systems.
 
The open format and the use of the modern archiving functions ensure long-term preservation of data and allow for access independent of proprietary systems. Data are displayed with the desired structure and can be retrieved and analysed via a web browser. For this purpose, data are selectively loaded from the archive to a temporary database. This process can be configured and repeated at will. This way, the database can liberated from data currently not required at any time and performance can thus be kept at a high level, while the costs are kept low.

Possible Applications

Financial Accounting

Financial documents are traditionally processed and stored using ERP systems. Legal provisions require companies to keep their accounting records for up to 30 years. With database-driven ERP systems, this can result in significant performance degradation in the course of time. Although the integrated archiving capabilities of ERP help relieve the database, many analysis options are lost due to archiving.
Liberyse frees data from the ERP environment and transfers them to a legally compliant and audit-proof archive. In doing so, the existing business logic as well as the linked documents and files are preserved. So, the database is relieved, while evaluation possibilities are retained and can be extended as desired.

Product Liability

In the area of product liability, the retention of data plays a very important role. In case of doubt, it may be necessary to prove that the product was manufactured and delivered free from defects. The most important documents are often inadequately stored in the respective departments or, in the worst case, locally in their source environments or on source drives. In case of dispute, having to search for important files can mean difficulties and delays.
Liberyse offers the possibility to store all the relevant documents and data concerning the life cycle centrally and in the desired context. The web application allows secure access at any time.

POS data

In the field of POS systems utilised for recording transactions, the last years have seen some technical developments. In November 2010, the Federal Ministry of Finance (BMF) issued a memorandum on the "Storage of digital documents", taking into account these developments and updating the requirements for storage of POS data. Thus, in accordance with retention requirements, digitally recorded data have to be kept available at all times in a format readable and automatically analysable without delay. Compacting data or storing just total sums is not permissible (BMF Memorandum: IV A 4 - S 0316/08/10004-07, DOK: 2010/0946087).
The challenge in this context is the quantitative scope of the data. In the case of big chain stores, you may quickly run into several thousand data suppliers with daily data deliveries. The possibility to analyse data analogously to their source systems has to be ensured during archiving as well.
This task is easily mastered with Liberyse. Logical relationships are included in the data transfer and so are the opportunities for analysis. The web client provides convenient access for both, users within the company and external auditors from financial authorities.




Legacy systems

Every now and then, a legacy system emerges in an enterprise that is no longer required in productive operation. In many cases, this is due to a switch to new technology standards or, for example, a corporate merger. Unless the data are migrated to current production systems, the legacy systems are maintained in order to ensure access to old data.
This parallel operation is often associated with high costs and tying up resources within the company; in addition license and maintenance fees are incurred from the manufacturers and suppliers of – as often the case – proprietary systems.
Liberyse frees data from their proprietary environment and transfers them into legally compliant and audit-proof archives. In this process, data from several heterogeneous sources can be preserved and transferred to the central Liberyse archive together with the existing business logic and the linked documents. The analysing options remain in place and can be extended as desired.

SAP/SAP DM

SAP systems can cause a significant increase in the dimensions of databases, and they provide their own document management system with archive connections. To relieve the database, SAP offer their own data archiving function, but access to the archived data is selective, and neither restoration of data to the source system nor direct reading are possible. Thus, many possibilities for data analysis are denied.
Liberyse can transfer the data while keeping the document links usable. In doing so, the scope can be scaled from the DSAG recommendation up to a "100% approach" or according to your wishes. The costs for licenses that are no longer required can be saved as well.

Archive Consolidation

Most applications in productive operation feature their own archiving components that make a substantial contribution to the relief of the application. Over time, newer applications are repeatedly added or replace older ones. This results in the creation of a collection of different archives that are not interconnected. To make matters worse, suppliers often use encrypted data formats in order to prevent easy data access e.g. by applications from other providers.
Liberyse can liberate content from such application-specific archives and consolidate it into a central, revision-proof and legally compliant archive. Henceforth, the data are preserved together with the defined business logic in an open, standardized and future-proof format.

Log Data

Log files are generated in many IT areas. Under SOX, Security, BCM and other legal requirements and guidelines, many of these log files have to be preserved. The access control logs of networks and servers, for example, are also subject to an increasing number of corporate regulations. Along with a description of the concerned environment/server, this data can give a complex picture of the configuration and ongoing checks.
With Liberyse the descriptions of access processes and the collected log files can be stored in an interlinked format. Access can be gained via a secure web connection.

Staff data

Numerous deadlines have to be met where staff documents are concerned. Whenever an employment contract is concluded, claims can be made even after many years. In the case of pension rights, for example, the limitation period is 30 years. Add to this the tax-relevant data from the HR files. At present, many of the documents and information are still kept in hard copy. And even if your HR systems are capable of preserving such information for a long time, it always makes sense to consider another safe environment. There might be a potential to reduce database and licensing costs.
Liberyse can adopt the data from your HR systems together with the archived documents and display them via the web client. The business logic is adopted as well and may be extended.

In the case of patient records retention periods can be very prolonged, for example with X-rays. Many legal requirements have to be fulfilled here. In many cases, digital files and physical documents are used and preserved in parallel.
